From 25th - 27th October 2024, Gilwell Park will come alive with an incredible programme of activities and entertainment. 

But Scarefest is more than just a weekend of programme support. It's a chance to connect with like-minded Scouts, make new friends and reminisce with old ones. Book now for an incredible weekend you won't forget.

We just need a few details to help us put together your booking. As part of our commitment to safeguarding, we check all adults attending the event against our internal vetting records.

Arrival date and time

We'll need most of our event volunteers no earlier than Friday morning. Arrival before this time will be for pre-arranged roles and tasks only.

Departure date and time

We expect most people to depart late Sunday afternoon or early evening. Departures after this time will be for pre-arranged roles and tasks only.

Accessibility requests
Indoor accommodation required

We have a very limited number of indoor accommodation available. Please be considerate to others, and only select this option if you really need it. Most beds are in single sex shared accommodation in rooms up to 8 people with shared bathroom facilities.

Accessible parking

We only have a very limited number of spaces available, so please be considerate and only select this option if you need it. Your space may still be a considerable distance from your pitch.

Pitch with power

We have a small number of pitches for medical needs (e.g. for CPAP machines that don’t run on battery). Please be considerate and only select this option if you need to. These pitches will be in a designated area only available to campers requiring this.

Catering

Select the meals that you'd require for the event. 

All meals will be served in the newly refurbished CIC Dining Hall. An exact menu and confirmed timings will follow closer to the event. 

We are able to cater for the 14 key allergens, as well as vegetarian, vegan and halal diets. Our catering team will try their utmost to cater for other allergies or intolerances, but we're unable to cater for personal tastes or preferences.

Please provide any dietary requirements and allergies that we will need to be aware of for your catering.

Scout Adventures Events Safeguarding Declaration

As Scout Adventures events take place at our Scout centres, all visitors must agree to abide by our safeguarding code of practice (also known as the Yellow Card).

This is reproduced below with the original available on the Scouts website.

In particular, it must be understood that any contravention of the code of practice could lead to The Scout Association initiating its own reporting and referral procedures.

Code of practice

  • Do remember that you are a role model at ALL times, inside and outside Scouting. Set a good example for others to follow.
  • Do treat everyone with dignity and respect in line with the Scouting Values
  • Do treat all young people equally - do not show favouritism
  • Do follow the adult-to-young person ratios at all times
  • Do remember that you have been placed in a position of trust - do not abuse this
  • Do report all allegations, suspicions and concerns immediately
  • Do remember that someone may misinterpret your actions
  • Do respect a young person’s right to personal privacy
  • Do act within appropriate boundaries, even in difficult circumstances
  • Do encourage an open and transparent culture, where people can challenge inappropriate attitudes or behaviours
  • Do make everyone (young people, parents and carers, Young Leaders and other helpers) aware of our safeguarding arrangements and share our Yellow Card - our Code of Behaviour
  • Do create an environment where young people feel safe to voice their concerns
  • Do have separate sleeping accommodation for young people, adults and Young Leaders working with a younger section
  • Do plan activities that involve more than one other person being present, or at least within sight and hearing of others.
  • Do not plan to be alone with a young person.
  • Do not drink alcohol when you are directly responsible for young people and never allow young people on Scouting activities to drink alcohol
  • Do not trivialise abuse or let it go unreported
  • Do not join in physical contact games with young people
  • Do not overstep the boundaries between yourself and young people by engaging in friendships or sexual relationships
  • Do not allow activities that encourage bullying behaviour including initiation ceremonies, dares or forfeits
  • Do not use inappropriate, suggestive or threatening language, whether verbal, written or online
  • Do not rely on your reputation or position to protect you

Volunteer applications close on the 30th September so we aim to let everyone know by the end of that week either way!

We really appreciate every application and we're normally able to find a suitable role for nearly everyone. However, we receive a huge amount of interest from lots of great people, so occasionally we do have to say "thank you so much, but we're fulll!". Where this happens (and we hate to do it), we'd always encourage you to apply for future opportunities, or talk to us about volunteering at one of our centres outside of our events.
